Senior Manager, Human Resources

TITLE:                          Senior Manager, Human Resources

DEPARTMENT:           Human Resources Department 

REPORTS TO:             Chief Operating Officer

POSITION SUMMARY:
TIP’s Senior Manager for Human Resources will provide day-to-day support in all aspects of Human Resources; recruiting, orientation, employee relations, performance management, compensation, disciplinary situations, skills assessment and training.

KEY RESPONSIBILITIES

  • Manages the employment process which entails the recruitment, selection and placement of all support and some professional employees. Activities include drafting and placing ads; working with employment agencies; skills testing of applicants; interviewing, reference checking and salary negotiations.

  • Manages job offer process for approved hiring with approval from COO.

  • Manages human resource files for staff below senior management level, establishes/maintains an HRIS system, resume database

  • Identifies and maintains relationships with recruitment agencies

  • Conducts orientation for new employees and ensures that all paperwork is completed in an accurate and timely manner

  • Counsels staff and management on a variety of personnel related matters including sensitive issues, job reclassification, terminations, personality conflicts, potential areas of discrimination and policy interpretation.

  • Monitors and provides input on personnel policies, procedures and practices to ensure that they meeting both the intent and spirit for which they were created.  

  • Monitors documentation for personnel files

  • Drafts position descriptions and employee communications; working closely with COO

  • Works with management in interpreting HR policies and procedures; updates TIP’s Employee Handbook as needed.

  • Manages the performance appraisal process; assists in establishing guidelines for salary increases.  

  • Maintains TIP’s established salary structure. Conducts periodic compensation surveys to determine general competitiveness, making recommendations based on survey findings.

  • Administers the employee benefits programs which include health/major medical/dental/vision plans, life/ADD insurance, workers’ compensation and unemployment compensation.

  • Assists management in identifying outside training for employees as deemed appropriate

  • Assumes other duties as appropriate for an human resources director as assigned

SKILLS
  • Ability to maintain strict confidentiality - essential

  • Strong recruiting experience

  • Strong communication skills in both employee presentations and one on one conversations with employees regarding performance

  • Excellent Microsoft Office and HRIS database experience

  • Detail oriented, organized; ability to handle a fast-paced, rapidly-expanding environment where priorities change frequently

  • Must be self-motivated and able to anticipate needs and potential problems; self-starter

  • Must have an understanding of the Middle East and commitment to Israel

EDUCATION AND/OR RELEVANT EXPERIENCE
  • 5-7 years of experience in an HR manager position, preferably in an organization with 40 or more employees.

  • International HR experience a plus

  • BA/BS degree in HR or related program required

Operations Support Specialist

REPORTS TO:
Under the day-to-day supervision of the Operations Support Manager, The Israel Project’s (TIP) Operations Support Specialist is responsible for all activities related to general office support activities as follows:

KEY RESPONSIBILITIES:

  • Function as “receptionist” for incoming guests.

  • Primary, day-to-day telephone coverage

  • Generate worksheet/files for producing mail merges

  • Process incoming mail daily

  • Primary, handling the meeting setup process including room requests, supplies, equipment, room set-up, etc


    • Prepare and monitor equipment and supplies for meetings; including preparing sign-out forms; preparing equipment and supplies for meetings; releasing equipment to staff and following up on return of equipment

    • Handle in-house meeting set up and breakdown

  • Maintain office and meeting supply inventory;

  • Postage meter – run daily postage and ensures mail is sent out, run and prepare monthly postage report, and track available postage balance.

  • Handle daily conversion of Newseum project work as needed

  • Assist with a variety of projects and activities including backup support for computer/printer issues, telephone service, etc.

  • Serve as backup to Operations Support Specialist and Donor Database Specialist needed.

  • Assist Development Department with mailings, meetings and events when needed

  • Other duties as are appropriate for an Operations Support Specialist.

SKILLS AND ABILITIES:

  1. Must be detail oriented;

  2. Must be able to effectively plan/manage work flow on multiple projects simultaneously and manage project details with limited supervision.

  3. Ability to work in a fast-paced, deadline-driven environment required.

  4. High level of proficiency in Microsoft Office; with an advanced understanding of Word, PowerPoint, Excel and Outlook plus Adobe PDF.

  5. Demonstrated level of comfort working with data bases.

  6. Familiarization with presentation equipment, e.g. video projectors, power point projectors, overhead projectors, etc.

  7. Familiarization with office equipment, e.g. copy machines, printers, facsimile machines, etc.

  8. Willingness to work hard in a team environment.

  1. BA/BS degree required.

Development Marketing and Events/Logistics Coordinator

In conjunction with the President/Founder of The Israel Project and under the direct supervision of the Senior Director of Development, this position is responsible for developing and managing outreach and marketing efforts to promote TIP in order to increase funds raised for the organization.

RESPONSIBILITIES:

  1. Plan TIP events targeted at donors and donor prospects ranging from individual one-on-one fundraising tours for TIP senior managers to large scale public events. This includes but is not limited to:

    1. Plan and manage fundraising trips around the U.S. for TIP senior managers and program managers including public outreach events, private fundraisers and one-on-one meetings with donors and donor prospects.

    2. Prepare all fundraising and marketing materials necessary for the trips.

    3. Place op-eds by the touring TIP manager in press of cities being visited

    4. Arrange for media interviews of touring TIP manager in cities being visited.

  2. Develop and maintain new marketing/development materials for TIP including brochures, videos and other promotional fundraising materials.

  3. Identify communities with fundraising potential for TIP and develop and manage an outreach strategy to maximize funds raised from these communities.

  4. Coordinate and represent TIP at the TIP booth during conferences – including the development of specialized materials for each conference.

  5. Coordinate online viral marketing with Web Advocacy and Outreach

  6. Other duties as are appropriate for this position or as assigned by the Senior Director of Development.

SKILLS AND ABILITIES:

  1. Proven track record and experience in marketing, event planning and project management.

  2. Excellent writing skills including press releases and speeches.

  3. Excellent interpersonal skills.

  4. In-depth working knowledge of databases

  5. High level of proficiency with Microsoft Office and graphic design software.

  6. Must be able to work quickly, efficiently and under short deadlines with minimum supervision. 

  7. Must have an understanding of the Middle East and commitment to Israel.

EDUCATION AND EXPERIENCE:

BA/BS in a related area of discipline required.
Five+ years of marketing experience required.
Experience of sales or fundraising required.
Knowledge of the U.S. Jewish community preferred
Some public speaking may be involved in this position

Grant Writer 

Under the direction of the Senior Director of Development, the Grant Writer is responsible for preparing/monitoring and reporting on all funding request proposals, identifying/qualifying prospective foundations for funding, tracking program outcomes, and expanding and managing The Israel Project’s grant program.

KEY RESPONSIBILITIES:

  1. Identify, qualify and solicit prospective foundations for general operating and/or designated funding requests.

  2. Prepare proposals and letters of inquiry for renewals and new grant funding opportunities.

  3. Create customized proposals according to each foundation’s guidelines.

  4. Create customized budgets in accordance with each foundation’s guidelines.

  5. Work with program managers to track program outcomes.

  6. Develop project summaries and year-end reports as necessary for grant reporting.

  7. Develop year end “annual” report for distribution to donors

  8. Maintain accurate and complete files on all grant request files.

  9. Maintain accurate and complete on-line data base of all grant requests, schedule for submission of grant requests, due dates for ongoing foundation reports, etc.

  10. Other duties as are appropriate for a Grant Writer or as assigned by the Senior Director of Development.

SKILLS AND ABILITIES:

  1. Demonstrated record of success at securing 5, 6 and 7 figure grants.

  2. Excellent research and writing skills required.

  3. Ability to identify, approach and solicit new funding from existing and new foundations.

  4. Must be able to effectively plan/manage work flow on multiple projects simultaneously and manage project details with limited supervision.

  5. Ability to work in a fast-paced, deadline-driven environment required.

  6. High level of proficiency in Microsoft Office; with an advanced understanding of Word, PowerPoint, Excel and Outlook.

  7. Demonstrated level of comfort working with foundation personnel and donors at all levels.

  8. Must have an understanding of the Middle East and commitment to Israel.

Research Communications Associate

REPORTS TO: Under the direct supervision of the TIP Israel Senior Advisor for Research and Communication, the Research/Communications Associates provides research, content and support for TIP’s overall research and media management efforts.

KEY RESPONSIBILITIES:

  1. Research – conducts research and obtains materials as requested by Senior Advisor of Research/Communications with specific emphasis on the Israel-Palestine conflict.

  2. Content – provides all written materials for posting to TIP’s website and/or distribution to journalists/media outlets via TIP’s online database system including, but not limited to:
    1. Press releases
    2. Backgrounders
    3. Fact Sheets
    4. Press kits, etc.

  3. Identifies/Trains/Provides subject-matter experts to Israel-based, foreign media on a proactive/reactive basis consistent with the current news cycle.

  4. Maintains subject-matter expert list in online database system for use throughout TIP.

  5. Posts content materials, e.g. press releases, backgrounders, fact sheets, still photos, videos, etc. to TIP’s online database system

  6. Distributes content materials to appropriate journalists/media outlets via email, utilizing TIP’s online database system

  7. Assists Senior Advisor for Research and Communications with TIP-Israel internship program; provides day-to-day supervision of TIP-Israel interns.

  8. As needed, lead informational tours for journalists/media outlets, e.g. Intellicopter and Intelitours.

  9. Any other similar duties as may be appropriate for a Research/Communications Associate.

SKILLS AND ABILITIES:

  1. Language skills – academic level English required; high level of fluency in Hebrew preferred.

  2. Passion for Israel advocacy; good knowledge of Israel and the Middle East.

  3. Experience conducting detailed research on the Middle East

  4. Experience creating content/writing materials on the Middle East.

  5. Ability to work in a fast-paced, deadline-driven environment required.

  6. Must be able to work quickly, efficiently and under short deadlines with minimum supervision.

  7. High level of proficiency with content management systems (Kintera), research systems, e.g. Google, LexisNexis, Cision, Microsoft Office Suites (Word, Excel and Outlook); advanced level of experience in PowerPoint and Adobe PDF preferred.

  8. Experience utilizing multi-media software for posting images and videos to content management systems.

  9. Willingness to work off-hours; when necessary, in a 24/7/365 news environment.

EDUCATION REQUIREMENTS:

BA/BS in Middle East Studies, International Studies, Political Science or relevant disciplines. MA in same areas of study preferred.

EXPERIENCE:

At least 3 years of relevant experience in research/writing/advocacy in Middle East. Strong background in research/writing/editing and web prefered.

Strategic Communications Interns

The Israel Project in DC is offering an internship opportunity for graduate students in journalism, communications, international relations, political science, Middle East studies or related subjects.

Interns will benefit from this unique opportunity which is based on substantive contacts with leading journalists and communications professionals and practical experience that gives participants broad, out-of-classroom experience. During the program, TIP interns have the opportunity to develop long-term career-building relationships with reporters and experts on the Middle East.

Interns will work according to an individually arranged schedule. You will research background information, write short papers and fact sheets, assist with media events, conduct extensive research on the Internet and update our website. Interns of European origin will work mainly for our European brand which focuses strongly on Iran and its nuclear program.

Requirements:
  • Work commitment: 15 hours/week or more for at least 3 months (negotiable)

  • BA degree or equivalent

  • Interest in Israel and the Middle East and commitment to work in an Israel advocacy organization

  • Ability to work independently, self organized and reliable

  • Good skills in Microsoft office programs

  • Good English skills

Preferred:

  • Language skills in Spanish, French, Russian, German or Arabic

Web Interns

Web Internship – seeking candidates for an unpaid and/or hours for credit internship.  Successful intern(s) will work out of The Israel Project’s Washington D.C. office. 

Under the supervision of the Senior Associate, Web Advocacy and Outreach, the Web-Intern will be responsible to help build, develop and maintain an accurate and up-to-date website (www.theisraelproject.org).

Duties will include maintaining a clean and updated online contact database of activists and journalists (adding/updating/deleting records, etc…), reviewing all website pages for accuracy and currency, working with content owners to revise content using our Kintera-based CMS, and if needed format TIP pieces to send them out and post them on our website. Additional duties could involve working with graphic, video and audio files, maintain/expand TIP’s presence on blogs, and social networking and video-sharing websites, and help maintain an updated Activist section on TIP’s website.

Excellent attention to detail, copyediting/proofreading and web software skills is a plus. Will train in our database software, but experience with Access, MySQL, and database cleaning software are preferred.

Excellent writing, editing and proof-reading skills as well as Microsoft Office and web software skills (CMS) are preferred.

Operations Support Intern

The Israel Project (TIP) is seeking candidates for an Operations Support Intern position in its Washington, DC office. This position reports to the Operations Support Manager. The Operations Support Intern will assist with activities related to maintaining and updating donor records in in-house and on-line database systems.

Projects include entering new donors into database and updating existing records; cleaning and maintaining online and offline database systems; preparing lists for uploading; online donor and prospect research; assisting with initial conversion of ALL data into new online database; and synchronization of both databases on a regularly scheduled basis. Operations Support Intern will also assist with the day-to-day telephone coverage and greeting office guests.

Must be detail oriented and able to effectively plan/manage work flow on multiple projects simultaneously with limited supervision; ability to work in a fast-paced, deadline-driven environment essential; high level of proficiency in Microsoft Office with an advanced understanding of Word, PowerPoint, Excel, Outlook, and Adobe PDF required. Familiarity with presentation and office equipment, e.g. PowerPoint projectors, audio, and teleconferencing systems required; experience working with photocopiers/printers a plus. Must be currently pursuing or have completed a BA/BS degree. Must be available to work a minimum of 15 hours per week.
